The Executive Assistant role is a key position in enabling smooth day to day operations of a Senior Executive. The role is responsible for daily office functions and duties, including active and autonomous support to the Executive. This position will also perform and administer special projects in collaboration with various staff and departments at SAP.

The Executive Assistant will interact at C-level with customers and internally within SAP, and is THE chance to get into SAP and learn the art of project management and stakeholder management.

Over time, the role can be an entry position towards a project management career path within SAP, with increasing responsibilities at the Project Management Office of engagements, projects and programs.

Key Areas of Responsibility and Tasks:

  • Monitoring actions and manage reminders

  • Managing internal and potentially external correspondence at all levels

  • Arranging meetings for Executives including co-ordination of Leadership Meetings and larger external events

  • Working closely with the Services Leadership Team in EMEA North and Nordics

  • Co-ordination of travel arrangements, including organizational preparation and follow up like booking of travel expenses

  • Admin support for new starters into the team to include ordering of equipment and monitoring induction

  • Central contact and all other ad-hoc support as needed by the Executive and the team

  • Resolving issues with some complexity with limited guidance

  • Developing collaborative work relationships within own team and cross-functional, including representation of team towards senior management

  • Proactive and able to identify and solve problems

  • Managing controlling and reporting activities on behalf of the Executive, e.g. creation, staffing and reporting on internal orders, reporting on cost centers and profit centers

  • Working on own projects

  • Supporting projects, including decision taking within clearly defined framework of departmental guidelines and practices

  • Monitoring budget

  • Assist with project coordination, planning and management as well as early escalations

  • Report weekly the project components status and issues to Delivery Management and other project stakeholders.

  • Capture Project metrics and ensure they are clearly communicated to the Project management team

  • Assist in developing Project Plan and coordinate staffing efforts for field positions.

  • Assist in Resource Management process, creating and tracking resource requests

  • Procurement management – track vendors and subcontractors

  • Assists with tracking and monitor project change requests


The successful person in this role is well organized, detail-oriented, with the ability to drive topics and work independently in a constantly changing environment

  • 0-3 years of experience as project manager of small to medium size project

  • Project coordination or administrative project management specialist functions

  • Or newly graduated top student

  • Danish: Professional level – is a must

  • English: Professional level – also a must
